All of us at the Shoreview Community Center are prepared to do what it takes to make your event a success. To help with this, we ask that you carefully read this material, share it with your group, and follow the rules. By signing our rental agreement form, you agree to adhere to these rules and policies:
Booking deadlines
- Must be booked by Thursday at 4:30 pm:
- Cabanas
- Poolside party room
- Playground party space
- Playground exclusive
- Meeting room
- Activity room
- Picnic shelters
- Must be booked at least 30 days in advance:
- Bamboo Bay exclusive
Room rental times
- Reservation times include setting and cleaning up
- Remove all items from rented space at the end of your reservation
Fees
- Room rental fees:
- Due in full at booking
- Including damage deposit
- Room rentals include wristbands
- Due in full at booking
- Wristbands:
- Additional wristbands can be purchased for full price the day of your event
- Wristbands are non-refundable and can only be used day of event
- Damage deposit:
- $100 refundable damage deposit due at the time of booking
- You will not be refunded if you cancel your event
- City may hold damage deposit if:
- Policies are violated
- You run over the reservation time
- There is an excessive amount of clean up needed
- City may also charge actual costs for any damages caused to the facility
- The city will refund damage deposit within 14 business days if contract has been satisfied
- $100 refundable damage deposit due at the time of booking
Check in
- Check in at the lower level service desk
- Poolside room and cabanas
- Check in 10 – 15 minutes before event
- Meeting or activity rooms
- Staff may need to reassign rooms to allow for smooth transitions between rentals
General policies
- Food and drinks:
- Can bring in your own or buy from the cafe
- Only serve in designated party areas
- Electrical outlets are available
- Refrigerators and microwaves are not available
- Crockpots are not allowed in the cabanas
- Not allowed:
- Glass containers or balloons in the playground area or cabanas
- Alcoholic beverages
- Foods containing nuts
- Sinks are available in meeting rooms 1, 2, 3 and activity rooms 1, 2, and 4
- Decorations:
- Only allowed on tables and chairs
- Decorations are not allowed in the cabanas
- Glitter, confetti, and piñatas are not allowed
- Helium balloons are only allowed in meeting or activity rooms
- Only allowed on tables and chairs
- Do not sit on the tables and do not stand on the chairs
- Tobacco use is not allowed anywhere inside the building

- Reservation and wristband fees are non-refundable.
Liability
The Shoreview Community Center is not responsible for any loss, damage, injury, or illness by the users of the facilities within the community center or on the surrounding grounds. The community center will not be held responsible for items that are left at the facility.
Welcome to the Tropics Indoor Waterpark! Please take time to read our general information and policies. This information will ensure that your group has an enjoyable and safe experience. To make a reservation please call the pool rental line at 651-490-4780.
General information:
- Reservations are required for groups of 35 or more.
- Final headcount and payment are due prior to your reservation date.
- We do not provide refunds on unused wristbands.
- If your group is tax exempt, the ST3 form is due at the time of payment in order to receive the tax exempt rate.
- Pool groups outside of regular water park hours require a minimum of paid persons in order to use the water park amenities.
- If your group arrives with less than the required minimum, you are still allowed to use the facility, but will not be refunded for the extra admissions.
- Pool groups that have reservations during regular waterpark hours are not required to meet the minimums.
- Group minimums for our pools:
- Tropics Indoor Waterpark: 35 people
- Bamboo Bay: 35 people
- Chaperones receive complimentary admission and are encouraged to be in the water with their group.
- All children ages 6 and under must be accompanied in the water by a chaperone.
- An estimated headcount for your group is due at the time of booking. Please contact us as soon as possible if your headcount changes by more than 10.
- If you are receiving the group rate, payment will need to come from a single payer. We will not accept payment from individual group members.
- If you are planning on bringing money for the Wave Café, it is crucial to inform staff when booking your event so we can plan accordingly.
- Outside food is not permitted in the common areas of the building.
IMPORTANT: Please follow the signs in the parking lot to the lower level entrance for bus drop offs and pickups. If your reservation is on a Tuesday in the months of June through October, please drop off at the lower level and then park the buses at the upper parking lot. We appreciate your help in passing this along to the bus drivers.

We are not able to issue refunds for cancellations. Please make your decision carefully before choosing to book your event.
Agreement
- Reservation times include setting and cleaning up
- You cannot transfer or sublet the space to another user without approval from the Shoreview Community Center.
Fees
- Room rental fee:
- Due in full at booking
- Beer and wine permit
- $75 + tax
- Due 30 days before event
- Damage deposit:
- $500 refundable damage deposit due at time of booking
- You will not be refunded if you cancel your event
- City may hold damage deposit if:
- Policies are violated
- You run over the reservation time

Beer and wine permit
- Can only serve beer and wine
- Need to be served in paper or plastic cups, cans, or plastic bottles
- Glass is not allowed
- Need to obtain an intoxicating liquor banquet license by the city
- $75 + tax
- Cannot sell beer or wine
- Beer and wine cannot be served outside of the pavilion or picnic area (concrete slab)
- You must adhere to local ordinances and state laws regarding the use of alcohol
General policies
- Tents, canopies, and jump houses:
- Use weights only
- Stakes are not allowed due to underground wires and irrigation lines
- Only allowed in designated areas
- Use weights only
- Restrooms:
- Available in the pavilion
- Will be unlocked during the reservation time
- Fireplace:
- Available in the pavilion
- Ask the manager on duty to turn it on
- Will be turned on only during cold weather
- Garbage and recycling containers:
- Available in the picnic area.
- You must clean up before leaving
- Charcoal grills:
- Two grills are available
- You must provide charcoal and utensils
- You may leave ashes in grill for community center cleaning.
- Do not dispose of hot charcoal or ashes in garbage containers
- Permanent picnic tables:
- Available for seating up to 125 guests
- Kitchen facilities are not available for refrigeration, cleaning or tap water
- Plug-ins are available in the pavilion
- Amplified music is not allowed in the pavilion or surrounding picnic area.

- Glitter, confetti, and piñatas are not allowed
- Do not sit on the tables and do not stand on the chairs
- Tobacco use is not allowed anywhere inside the building
- We do not provide towels; you must bring your own

- $100 refundable damage deposit due at time of booking
- You will not be refunded if you cancel your event
- City may hold damage deposit if:
- Policies are violated
- You run over the reservation time

- City may also charge actual costs for any damages caused to the facility

By signing our facility permit and contract, you and/or your organization agree to adhere to the following rules and policies. Renter is defined as the individual or organization named on the facility permit and contract.
Banquet room rental times
- Monday – Thursday, 8 am – 8 pm
- Friday – Saturday, 8 am – midnight
- May rent the rooms for an extra hour with extra fees
- Need to add extra hours at least 60 days before the event
- Sunday, 2 – 7 pm
Fees
- Rental fees:
- Refundable damage deposit due at time of booking
- Room rental fee and security guard fee due at least 30 days before event
- Unpaid balances within 30 days are subject to cancellation without a refund
- Resident discounts:
- Apply to anyone who lives in Shoreview at the time of booking
- Shoreview resident must pay for the room rental, damage deposit, sign the contract, and arrange all tours and appointments
- Damage deposit:
- You are responsible for all damages incurred during the reservation time
- Due at time of booking
- City will keep damage deposit if policies are violated
- City may also charge actual costs for any damages caused to the facility
- City will refund damage deposit within 14 business days if contract has been satisfied

Rental procedures
- Rental team hours:
- Available Monday – Saturday, 10 am - 5 pm
- Extended evening hours on Tuesday and Thursday
- Make every effort to return phone calls within one business day
- Appointments are required for a tour or an event walk-through
- Non-profit groups:
- Need to submit a MN tax exempt form ST-3 at booking.
- You must assign one contact person who is 18 years or older to make all the arrangements for your rental.
- You or a designee must complete a checkout walk-through with our staff at the end of your reservation
General rules
- You may only use the facility/facilities that have been identified and approved on the contract.
- Reservation times:
- Include setting and cleaning up
- You will not get access to the rooms before the reservation time
- Your event must end on time
- Everyone attending an event must follow the community center’s policies
- At their discretion, staff may:
- Order the removal of any offender
- Order immediate removal of all alcoholic beverages from premises
- Revoke the rental contract immediately and order all persons from premises.
- You must assume full responsibility for any unlawful act(s) committed during your reservation time
- You cannot sublet, transfer, or reassign the reservation
- Your event cannot exceed maximum capacity due to fire safety:
- Shoreview room – 300 people
- Community room – 250 people
- Community room, a half – 100 people
- Community room, b half – 100 people
- Above numbers includes children
Food and drinks
- Can bring in your own food and drinks or hire a licensed caterer
- If own food and drinks:
- No access to refrigerators or kitchens
- If licensed caterer:
- Access to refrigerators and kitchens for an extra fee
- See below kitchen use guidelines
- Chafing dishes:
- Must be NSF commercial grade
- Cannot use disposable chafing dishes
- Loose popcorn is not allowed
Kitchen use
- Available to licensed caterers for an extra fee
- Need to provide a copy of catering license at least 30 days before the event
- Community center will not accept a copy the day of
- Available for Shoreview or community room rentals during reservation time
- Caterers not allowed at the community center:
- Dan Good (Dan Goode) Catering
- Moe’s of Mounds View
Liquor
- Can only be served in the Shoreview or community rooms
- Exclusive alcohol providers:
- You must use one of the below providers:
- You must contact them for prices and service information
- Alcoholic beverages are not allowed in public areas
- Exception includes the deck for Shoreview room rentals
- Final service:
- Bar must close at least 30 minutes before the event ends
- Last call must be announced 15 minutes before the bar
- Bartenders will not serve anyone who appears overly intoxicated
Room set ups
- Community center provides:
- Tables
- Chairs
- AV equipment
- You provide or rent through an outside company:
- Linens
- Decorations
- Kitchen supplies
- Final walk-through with rental team
- 30 days before event
- Finalize set up, AV needs, decorations, and deliveries
- Significant changes the day of will be subject to a fee
- Final review of policies
- Community center staff will complete room set ups by the event start time.
- Third party deliveries:
- Must be scheduled during your reservation time.
- Notify rental team of any special deliveries as this may affect your room set up.
Audio-visual equipment
- Included with room rental fee
- You must request in advance or at final walk-through
- Will be setup according to your instructions
- You are responsible for timing and operating during the event
- Items available:
- Screen and projector:
- PC-compatible only
- We recommend using community center laptops
- Media should be stored on Google Drive, DVD, or flash drive
- Cannot be copied onto laptop
- We recommend you schedule an appointment to test media beforehand
- Microphones
- Screen and projector:
- You can bring in your own equipment
- Staff will not provide any technical support
- Contact a manager on duty if there are AV issues during the event
- Staff will neither store, nor take responsibility for your media devices and personal AV equipment
Decorations
- You or your designee must decorate
- Attaching decorations:
- Do not attach to the floor, ceiling, wood molding, or lights
- Use Blue Painters Tape or 3M Command Hooks for attaching to walls or tables
- Stick-on table skirts are not allowed
- You cannot decorate public areas (bathrooms, entrance, lobby, etc.) without approval from the community center
- Decorations cannot inconvenience any other group
- You cannot block emergency exits and doorways
- A 36” clearance must be maintained at all times
- Candles must be in non-flammable containers (i.e., votive, hurricane candle, etc.)
- Open pillars and candlesticks are prohibited
- Confetti, piñatas, glitter, bird seed, rice, rose petals, feathers, or similar items are not allowed
- Remove all decorations at the end of your reservation
- Items cannot be stored overnight
Music, audio, and entertainers
- Music and audio:
- Staff will monitor noise to ensure it’s at an appropriate level
- Noise level should not disturb other guests using the community center
- Needs to be done at least 30 minutes before the event ends
- Entertainers must leave the building when the event ends to avoid additional rental time being charged against the room damage deposit.
- Fog machines are not allowed
Clean up
- You must clean up before leaving the building
- Put all trash in trash receptacles
- Recycling containers are available for recyclable items
- Caterer must clean up the kitchen
- Remove all decorations
- Community center is not responsible for items left on site
- Remove all items from rented space at the end of your reservation
- This includes third-party rentals and catering
- Friday and Saturday nights
- Must be done by midnight or 1 am if additional hour was purchased in advanced
Security
- Required on Friday and Saturday evenings, 8 pm until the end of the event
- $100 per hour, 4-hour minimum
- Individual needs to be trained to provide safety and support at your event
- Community center staff will arrange for this service
Supervision
- You must provide adequate adult (18 years or older) supervision of minors during the reservation time
- Minors should stay in designated rooms at all time during your event
- Inadequate supervision may result in loss of the damage deposit.
Liability
You are responsible for:
- The appropriate conduct of all the group members and guests,
- Any loss, breakage, or damage to the rooms, equipment, or other community center property.
- Any damages not covered by the event deposit
- Any personal injuries and/or property damage caused by yourself or your employees, officials, agents, and guests
The Shoreview Community Center is not liable for any loss, damage, injury, or illness by the users of the facility. The community center is not responsible for any items that are left at the facility by you or contracted service providers.
